As the eyes and ears of our office, you will play a pivotal role in ensuring seamless operations and supporting key business objectives.A strong ability to take charge and meet tight deadlines and exhibit high standards, excellent communication skills, as well as having the ability to take initiative, and prioritize daily tasks. will ensure your success in this multi-faceted role.This position requires exceptional organizational skills, proficiency in computer programs, and a strong aptitude for numbers.
Objectives of This Role
Act as the primary point of contact for the office
Optimize office operations by maintaining equipment, supplies, and inventories, including preventive maintenance.
Handle and coordinate active calendars
Schedule and confirm meetings
Ensure file organization based on office protocol
Provide ad hoc support around office as needed
Support organizational goals while upholding best practices.
Key Responsibilities
Front Desk Management:Maintain a clean and organized office environment.
Administrative Support:Assist senior leaders with email correspondence, generate and distribute memos, letters, spreadsheets, forms, and faxes.
Meeting Coordination:Plan, organize, and schedule company meetings in the office, off-site, and via videoconference.
Travel Arrangements:Coordinate domestic and international travel for employees.
File and Data Management:Maintain the filing system, contact database, employee lists, and inventory records.
Office Supplies Management:Order and oversee office supplies and organize food deliveries for group meetings.
Required Qualifications
High school diploma or equivalent.
Proven administrative experience.
Superb written and verbal communication skills.
Strong time-management skills and ability to multitask effectively.
Proficiency in Microsoft Excel, Word, Adobe, and other computer programs.
Strong numerical aptitude and organizational skills.
Trustworthy and capable of handling confidential information.
Preferred Qualifications
Experience in office management.
Familiarity with managing budgets and expenses.
Success in developing internal processes and filing systems.
Aptitude for learning new software and systems.
