Administrative Assistant Commercial Construction and Rollouts
Summary of Position: The Administrative Assistant will provide administrative support to the Project Team as directed.
Job Responsibilities/Essential Functions:
Answering phones and responding to employee and vendor inquiries
Making customer notification and follow-up calls
Creating and editing memos, faxes, spreadsheets, and presentations
Coordinating meetings (scheduling, set up/clean up, snacks/coffee, pick up lunches)
Scanning and data entry
Requesting vendor paperwork, ensuring all subcontractor requirements are met and filed electronically
Receiving, tracking, and saving paperwork and photos
Sorting and internal delivery of mail
Posting photos/sign offs/PO’s per procedure
Updating all systems and spreadsheets
Creating and distributing custom project reports
Other duties as assigned
Required Knowledge, Skills, and Abilities: To perform this job successfully, an individual must be able to excel at each duty outlined above and have the following knowledge, skills, abilities, and background. Commitment to a work schedule.
Experience with Office Suite.
Self-starter, highly organized, and able to work well with individuals at all levels.
Strong written, oral, and visual communication skills.
Extremely organized with strong attention to detail.
Able to work independently and as part of a team; work well under deadlines.
Minimum Qualifications:
18 years of age or older
Must be able to pass a drug test
Must be able to pass a background check
