Winspear Construction is seeking a highly organized, reliable, and detail-oriented Administrative Assistant to help keep our office running smoothly and efficiently. This role provides essential support across multiple departments—including administration, HR, and light accounting—playing a key part in our daily operations.

Key Responsibilities

Administrative & Office Support

Schedule meetings and manage executive and team calendars

Answer and direct phone calls in a professional manner

Maintain organized filing systems (digital and paper-based)

Sort and distribute incoming mail

Manage office supplies and place orders as needed

Coordinate repairs and maintenance for office equipment

Provide general support to visitors and assist with front desk duties

Run errands to support office and team needs

Human Resources & Employee Support

Assist with new employee onboarding and exit processes

Support employee relations and internal communication

Help coordinate company events, meetings, and team-building activities

Accounting & Data Entry

Provide administrative support to the accounting team

Assist with general bookkeeping tasks

Perform accurate data entry and help maintain financial records

Travel & Logistics

Book travel arrangements for staff, including flights, hotels, and transportation

Coordinate logistics for meetings, conferences, and offsite events

Qualifications

Proven experience in an administrative or office support role

Strong organizational and multitasking abilities

Excellent verbal and written communication skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace

Ability to handle sensitive information with discretion

Reliable, self-motivated, and able to work independently and in a team

Valid driver’s license (for running office-related errands, if applicable)

Preferred Qualifications

Experience with basic bookkeeping software, QuickBooks

Prior experience assisting with HR or employee engagement initiatives

Expected Hours

Monday-Friday noon-5pm with potential option for expanded hours as the role expands

Job Types: Full-time, Part-time

Pay: $18.00 – $26.00 per hour
