A well-known financial services firm is seeking an Administrative Assistant to support its Global Banking & Markets team on a 6-month+ contract. This is a fully on-site role, 5 days per week, at their downtown Dallas office. The ideal candidate is a polished, proactive administrative professional who is comfortable supporting senior leaders in a fast-paced, high-pressure environment.

Downtown Dallas, TX (On-site) | Contract | $32/hour | 6 Months+

Key Responsibilities:

  • Provide administrative support in a complex team environment to a senior group or executive
  • Coordinate complex, senior-level internal and external meetings and conference calls
  • Handle a high volume of phone calls and interact with high-level business leaders in a professional and effective manner
  • Maintain complex, highly detailed calendars and prioritize meeting requests and related logistics
  • Coordinate a high volume of domestic and international travel arrangements and process expense reports
  • Respond to and follow up on client requests and support internal and external managers and clients
  • Organize and ship literature and materials to clients as needed
  • Prepare and distribute divisional correspondence, memos, letters, reports, and other documents as requested
  • Manage monthly invoices and arrange for payment
  • On-board new hires and process employee transfers and terminations
  • Maintain understanding of firm policies and handle certain issues independently
  • Participate in general administrative duties including copying, filing, faxing, and archiving
  • Manage supply orders and keep inventory well-stocked
  • Assist with ad hoc projects, committees, and group events as needed

Requirements:

  • 3+ years of administrative support experience, preferably supporting senior-level executives in a corporate, financial services, or government environment
  • Excellent interpersonal and communication skills with the ability to interact professionally at all organizational levels
  • Exceptional attention to detail and strong organizational skills
  • Ability to handle highly sensitive, confidential, and non-routine information with the utmost discretion and integrity
  • Strong problem-solving skills with the ability to work quickly and efficiently under pressing deadlines
  • Self-starter with excellent anticipation, follow-up, and independent thinking skills
  • Demonstrated dependability and a strong sense of urgency around delivering results
  • Comfortable working in a fast-paced, high-pressure environment and adapting to unexpected events
  • Ability to prioritize multiple time-sensitive tasks simultaneously
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Team player with a positive attitude and the highest degree of professionalism and diplomacy
