POSITION TITLE: ADMINISTRATIVE ASSISTANT I – ANIMAL SERIVCES

OVERVIEW & PURPOSE:

Handles billings or receivables and other sources of revenue from departments; makes deposits and reconciles financial
accounting software and assures the accurate coding of revenue and expense items. Responsible for accounts payable,
receivable and/or payroll processing.

Inputs data into computer systems; generates records, reports, bills and/or other requirements from the data; verifies
and edits data. Troubleshoots computer problems for users. May train users in proper operation of their computer
and/or specific computer applications.

Operates a computer to generate correspondence, memoranda, electronic mail, reports; reviews work for compliance
with instructions, spelling, punctuation and grammar; proofreads final copies.

Types a variety of materials including charts, spreadsheets, and statistical data from notes or instructions; proofreads

Serves as the primary liaison to maintenance staff and outside contractors, the purchasing department and the finance
office.

Provides administrative support to the director and other supervisors. Responsible for filing, correspondence, ordering
office supplies and equipment, scheduling appointments, etc. Interacts frequently by phone and in person with,
members of the community, government officials and/or board members.

Maintains sensitive activity records and files; initiates appropriate follow-up or further action based on the status of
program activity.

Assists in providing or locating resources for skills enhancement.

Schedules hearings as needed for dangerous dog/potentially dangerous dog cases.

Reviews and responds to citizens requesting help from the Life-Saving Voucher program.

Liaison for the multiple Disaster Response Committees animal services is a part of.

Reviews and creates monthly reports to Health Department

ADDITIONAL FUNCTIONS:

Processes purchase requests or personnel/payroll actions for the department or unit.

May provide backup assistance to other roles in the department, including basic animal handling and cleaning of animal
housing and treatment areas.

May be required to work weekends, evenings, and holidays.

KNOWLEDGE, SKILLS, & ABILITIES:

Considerable knowledge of office practices and procedures.

Considerable knowledge and ability to use correct numbers, arithmetic, bookkeeping, grammar, vocabulary, and
spelling.

Ability to communicate effectively in person and by telephone.

Ability to operate office equipment such as computers and databases, typewriter, fax, scanner, and copier.

Ability to use judgment in organizing and establishing priorities of the work assigned.

Ability to record financial transactions and balance figures; ability to meet deadlines with payrolls, receivables, payables
and related actions with strict timelines.

Ability to maintain effective working relationships with supervisors, employees, and the public.

EDUCATION/EXPERIENCE “REQUIREMENTS”:

Graduation from Business School or College and three (3) years of experience as an Office Assistant, Secretary, or
related Administrative Support position, or an equivalent combination of education and experience.

Training and experience with MS Office, Chameleon, Crystal Reports, MUNIS Software Systems.

Must be a Notary Public, or willing to become a Notary Public.
