Full Job Description
The Administrative Assistant for Student Life shall report to the Dean of Students. Duties and responsibilities include, but are not limited to, the following:
Performs administrative support duties such as making appointments and maintaining meeting calendars; sorting and distributing mail; taking and transcribing minutes for meetings; coordinates and monitors defined projects and activities within Student Life; recommends actions and modifications as appropriate; collects and compiles statistical, financial and other information for special or periodic reports.
Serves as the initial point of contact for faculty, staff, students and the public seeking assistance from the Dean of Students. In this role, this position must be prepared to carefully, courteously and professionally interact with people even under occasionally tense circumstances.
Budget: helps prepare initial annual operating budget and monitors expenditures to assure proper and efficient use of available funds in Student Life. Monitor, track, and manage all club & departmental budgets using Chrome River software. Assist clubs and organizations by answering questions, tracking procurement card, billing the Foundation, etc.
Uses MS Office, Banner, Chrome River, Canva, Dynamic Forms, and other software and database systems to help preserve, organize, manage, and disseminate information pertaining to Student Life functions.
Supports with all record-keeping, helps manage contracts, and process payments, manages procurement cards, otherwise assist with the business needs of the Student Life.
Travel: prepares travel requests and requisitions, gets proper approvals, and reconciles expenses upon return of traveler. Reserves vehicles, rentals, airfares, registration fees, and hotels when needed.
Maintains appropriate confidentiality in accordance with FERPA and all relevant state and federal laws. The Dean of Students office deals with highly confidential information that needs to be protected and information kept safe following best practices.
Helps promote a culture of student engagement, community, leadership, and inclusiveness at NMJC and helps to educate students regarding campus and departmental policies and procedures.
Actively participate in the institutional goals and objectives designed to support the mission of the college.
May serve on various campus committees as assigned.
Performs other duties as assigned or required
Nothing contained herein shall limit the President in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the needs of New Mexico Junior College.
Qualifications
Two years of secretarial/clerical experience, preferably in an institution of higher education; OR an equivalent combination of education, training, and experience. Associate’s Degree preferred.
