About The Role
Sentara Careplex Hospital is seeking a dedicated Full-time Administrative Assistant II to support executive leadership and departmental operations. This role is primarily based on the day shift, working from 7:00 am to 3:30 pm, with flexibility required to cover various hours as needed. The Administrative Assistant II will perform a broad range of administrative tasks designed to enhance the efficiency and productivity of department managers, particularly supporting at least one Vice President and additional senior staff. Responsibilities include acting as a first point of contact, managing correspondence, scheduling meetings and appointments, preparing reports and documents, and ensuring confidentiality of sensitive information. The role requires excellent organizational skills, proficiency in Microsoft Office Suite, and the ability to handle multiple priorities effectively. This position offers an opportunity to work in a dynamic healthcare environment, contributing to the smooth functioning of hospital operations and supporting leadership in delivering exceptional patient care.
Qualifications
- High School Diploma or Equivalent (Required)
- Associate or Bachelor’s Degree (Preferred)
- 4-6 Months of basic experience with simple office or operational systems (Required)
- 2+ years of administrative experience (Preferred)
- Strong proficiency in Microsoft Office applications: Word, Excel, PowerPoint, Outlook (Preferred)
- Previous experience supporting Vice Presidents or Senior Directors (Preferred)
- Excellent organizational and time management skills (Preferred)
- Experience with EPIC electronic health records system (Preferred)
- Familiarity with clinical operations and healthcare environment (Preferred)
Responsibilities
- Provide comprehensive administrative support to Vice Presidents and senior management teams, ensuring efficient daily operations.
- Manage calendars, schedule meetings, and coordinate appointments, ensuring optimal time management for executives.
- Act as a primary point of contact for internal and external inquiries, directing calls and correspondence appropriately.
- Prepare, review, and organize reports, presentations, and other documents with accuracy and professionalism.
- Handle confidential information with discretion, maintaining privacy and security protocols.
- Assist in organizing departmental meetings, including logistics, documentation, and follow-up actions.
- Support the onboarding and orientation of new staff members as needed.
- Utilize EPIC and other healthcare systems to facilitate administrative tasks related to clinical operations, if applicable.
- Coordinate with various departments to ensure smooth communication and workflow within the hospital.
- Perform additional administrative duties as assigned to support hospital operations and leadership goals.
