The Administrative Assistant serves as the initial point of contact for students, prospective students, vendors, visitors, and employees. The responsibilities include maintaining the front desk area, answering inquiries, directing calls, and providing general administrative support to the organization. The Administrative Assistant ensures a welcoming and professional environment while facilitating effective communication.

Responsibilities:

Greeting and Welcoming:

Warmly welcome visitors and guests as they arrive at the office.

Answer inquiries and direct visitors to appropriate personnel or areas.

Phone Management:

Answer incoming calls in a courteous and professional manner.

Transfer calls to appropriate individuals or departments.

Take messages accurately and relay them promptly.

Front Desk Operations:

Manage the reception area to ensure it is tidy, organized, and well-presented.

Maintain a record of visitor sign-ins and sign-outs for security purposes.

Appointment Scheduling:

Schedule appointments and meetings for clients, staff, and management.

Notify relevant parties about upcoming appointments.

Mail and Packages:

Receive and distribute mail, packages, and deliveries.

Coordinate outgoing mail and ensure proper postage.

Administrative Support:

Assist with basic clerical tasks such as data entry, photocopying, and filing.

Help with the preparation of documents and reports as requested.

Communicate information about office closures, events, or changes to relevant parties.

Relay messages accurately between different departments or individuals.

Security and Safety:

Monitor visitor access and maintain security by adhering to established protocols.

Report any suspicious activities or concerns to the appropriate personnel.

Customer Service:

Provide excellent customer service by addressing inquiries and concerns in a helpful and friendly manner.

Operate and manage office equipment, including phones, computers, and office software.

Assist visitors with accessing Wi-Fi or other technology resources.

Coordination:

Help organize meetings, conferences, and events as required.

Other duties as assigned.

Qualifications:

High school diploma or equivalent; additional education or training is a plus.

Strong communications skills, both verbal and written.

Friendly and welcoming demeanor with excellent interpersonal skills.

Ability to handle a fast-paced environment and multitask effectively.

Proficiency in using office equipment and basic computer software.

Organizational skills and attention to detail.

Professional appearance and behavior.

Ability to remain calm and composed under pressure.
