PulseMediaNL is seeking an organized and leadership-oriented Administrative Assistant Manager to join our remote team. This role is responsible for overseeing administrative operations, supporting team coordination, and ensuring efficient workflow management across departments while maintaining a high standard of organizational support.

Responsibilities

  • Administrative Operations & Team Support
  • Oversee daily administrative activities to ensure smooth business operations
  • Support and guide administrative staff with task coordination and workflow management
  • Manage calendars, meetings, scheduling, and internal communications
  • Assist leadership with operational and administrative priorities

Coordination & Communication

  • Serve as a key point of contact between departments and management
  • Coordinate meetings, prepare agendas, and ensure follow-up on action items
  • Maintain clear and professional communication with internal and external stakeholders
  • Support cross-functional collaboration to improve organizational efficiency

Process Management & Reporting

  • Monitor administrative processes and identify areas for improvement
  • Prepare reports, presentations, and operational documentation as needed
  • Ensure records, files, and company documents are maintained accurately
  • Track deadlines, priorities, and departmental administrative tasks

Systems & Organizational Support

  • Use administrative systems, productivity tools, and CRM platforms effectively
  • Support onboarding and training for administrative team members
  • Maintain data accuracy and confidentiality across all records and systems
  • Ensure compliance with company procedures and operational guidelines

Requirements

About the Ideal Candidate

  • 2–4 years of experience in administrative support, office coordination, or a similar role
  • Previous leadership or supervisory experience is a plus
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage workflows effectively
  • Problem-solving mindset with strong attention to detail
  • Professional, proactive, and dependable attitude
  • Comfortable working in a remote environment
  • Familiarity with productivity tools, CRM systems, and administrative platforms
  • Basic proficiency in Microsoft Office Suite or similar tools
  • High school diploma or equivalent required; additional education is a plus
