Join our dynamic team at PAA Advisory | Conseils as an Administrative Assistant. Based in our downtown Montreal office, this role is essential to the smooth operation of the team and will provide you with valuable experience in a fast-paced environment. Regular in-office presence is essential to success in this role. This position is a one-year contract.
Key Responsibilities
- Maintain accurate financial records related to office expenses and costs and provide support to the billing team;
- Assist with organizing meetings, corporate or client events, conference room bookings, and office space coordination;
- Provide support to the leadership team, particularly with staff management and the recruitment process;
- Serve as a resource for administrative questions, leave, payroll, and benefits;
- Manage relationships with service providers and building management;
- Act as the first point of contact for visitors and deliveries;
- Manage and distribute incoming mail and deliveries;
- Contribute to managing office supplies, equipment, and furniture, ensuring stock levels remain adequate;
- Update and manage data in Excel and other administrative software;
- Participate in and prepare for bi-monthly administration and management meetings, and summarize meeting notes for managers;
- Assist with planning and managing the Managing Partner’s schedule;
- Collaborate with external partners and vendors to resolve technical issues when needed;
- Ensure that offices, including common areas and meeting rooms, are clean, tidy, and well stocked;
- Continuously assess existing administrative processes and recommend improvements to enhance efficiency.
Requirements And Skills
- Bachelor’s degree or professional training in office administration, business management, or a related field;
- At least 2 years of experience in an administrative role (e.g., office assistant, receptionist, secretary);
- Excellent communication and interpersonal skills;
- Strong attention to detail and accuracy;
- High level of reliability and punctuality;
- Excellent organizational skills and the ability to solve problems independently;
- Initiative and the ability to work proactively;
- Proficiency in both French and English, written and spoken;
- Ability to anticipate and respond to the needs of clients and colleagues;
- Proficiency with Microsoft Office 365, Windows, and other common software;
- Knowledge of office management procedures and basic administrative principles;
- Graphic design experience with Canva is an asset.

This is a full-time position based in Montreal. The salary range for this role varies depending on experience.
