Position: Administrative Assistant-Public Safety (Part-time)

The City of Aiken is accepting applications for a part-time Administrative Assistant to join our Public Safety department.

Responsibilities:

Ensures maintenance of equipment; interprets policies and procedures for staff; provides assistance where needed

Assumes responsibility for special projects and events; monitors projects to assure accuracy and completion

Operates a computer and software to type documents, input and retrieve data, and generate a variety of reports

Types correspondence, memoranda, reports, minutes, briefs, appeals, and other documents pertinent to the department from written notes, verbal instruction, or tape; proofreads and corrects documents

Develops and maintains cooperative relationships with other City departments, outside vendors, and the general public contacted in the course of work; attends meetings

Organizes, develops, and implements procedures for recording and filing various forms and reports, and maintains filing systems

Performs receptionist duties; greets public entering office and offers assistance; answers telephone and forwards to appropriate party, takes messages, or responds to questions, concerns, or complaints from knowledge of departmental procedures

Sorts and routes incoming mail; processes outgoing mail

Makes copies of documents and reports

Fills in for other employees as needed

Provides additional support when needed for processing of daily paperwork, paid specials, and timesheets

Provides additional support in maintaining the calendar for use of Administrative Conference Room or Emergency Operations Center (EOC)

Minimum Requirements:

High School diploma, or equivalent, and two year college or technical/vocational school degree

One to three years of progressively responsible clerical experience or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities

Skills in operating and routine maintenance of general office equipment such as copiers, calculator, FAX machine, telephone systems, and two-way radio base stations

High level of interpersonal skills necessary to be pleasant and helpful to citizens and vendors and courteous of fellow employees while performing duties

Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to citizens requiring assistance
