Essential Duties and Responsibilities

  • Provide administrative support to management and departmental staff.
  • Prepare, maintain, and organize electronic and paper files, records, and reports.
  • Assist with scheduling meetings, conference calls, and calendar management.
  • Monitor and respond to emails, phone calls, and general inquiries in a professional and timely manner.
  • Coordinate office logistics, including meeting preparation, supplies, and administrative requests.
  • Prepare correspondence, presentations, reports, invoices, and other business documents.
  • Maintain accurate records and perform data entry within company systems.
  • Assist with onboarding, training coordination, and administrative support for departmental initiatives.
  • Support operational projects and special assignments as directed.
  • Maintain confidentiality of sensitive company and employee information.
  • Work collaboratively with corporate departments and field teams to ensure timely completion of assigned tasks.
  • Perform other administrative and operational duties as assigned.


Additional Responsibilities

  • Research, analyze, and recommend solutions to operational and administrative challenges.
  • Utilize AI-enabled tools and technology to improve efficiency, streamline processes, and support business objectives.
  • Create professional reports, presentations, dashboards, and communications for leadership and departmental use.
  • Manage and organize information within SharePoint and other company platforms.
  • Identify opportunities for process improvements and recommend practical solutions.
  • Exercise independent judgment in prioritizing assignments and managing competing deadlines.
  • Support executive and departmental initiatives requiring discretion, professionalism, and attention to detail.


Qualifications

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Minimum of 3 years of experience in a professional corporate office environment preferred.
  • Demonstrated ability to work independently and proactively in a fast-paced environment with changing priorities.
  • Strong critical thinking, problem-solving, and decision-making skills.
  • Proven ability to learn new systems, software, and technology quickly.
  • Advanced proficiency with Microsoft Office Suite, including Excel, PowerPoint, Word, Outlook, Teams, and SharePoint.
  • Experience leveraging AI-based tools and digital technologies to improve productivity and workflow efficiency preferred.
  • Exceptional verbal and written communication skills with the ability to interact professionally at all levels of the organization.
  • Strong attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
