Full Job Description
POSITION PURPOSE: The purpose of this position is to provide Office administration and bookkeeping services for the share financial team for parishes and/or schools.
DESCRIPTION OF LEVELS:
is responsible for the full range of Typical Job Responsibilities outlined below, as appropriate for the job setting (e.g., parish, school, etc.).
The Bookkeeper performs more routine bookkeeping functions under the direct supervision of a finance director.
LIST OF POSSIBLE ADMINISTRATIVE JOB DUTIES:
Assures that all secretarial duties for the business manager and finance director are accomplished in a timely and efficient manner. Accomplished this by greeting visitors, receiving and placing telephone calls for them, scheduling appointments as requested, typing in their written communications (letters, reports, memos), and processing mail. Assures incoming and outgoing mail is handled properly by opening and distributing mail and assuring outgoing mail is delivered to the mailbox daily.
Oversees inventory of office supplies. Orders materials, supplies, or equipment as needed. Oversee the maintenance contracts for the various office machines.
Assist with filing all documentation, including boxing of end-of-year financial files.
LIST OF POSSIBLE BOOKKEEPING JOB DUTIES:
Assures the development and maintenance of a financial bookkeeping system for the parish or school. This is accomplished by maintaining accurate and current accounts payable and receivable ledgers and reviewing all documents to ensure they follow Diocese policies.
Assures the maintenance of all banking accounts. This is accomplished by processing all check requests and assuring there is proper authorization for expenditure in all programs and operating accounts.
Provides bookkeeping services and advice for those who direct the various fund-raising efforts for the parish or school, including the CMA and special collections.
Maintains a level of expertise in the accounting/bookkeeping profession. This is accomplished by participating in diocesan-sponsored training, attendance at workshops and classes, and/or membership in local organizations.
Assures all services companies for parish, school and cemeteries have all required W-9’s.
Maintain all vendors in MIP for accuracy and policy compliance.
Maintains online giving websites and handles monthly deposit entries and reports.
Other duties as assigned.
NECESSARY QUALIFICATIONS:
Active member of a Roman Catholic parish faith community. (Sometimes this requirement may be satisfied by a person who has knowledge of and is willing to function in a manner consistent with the mission of the Catholic Church.)
Work experience establishing and maintaining bookkeeping systems consistent with the Diocesan guidelines is required.
Ability to produce accurate and current parish/school financial data as requested
Ability to honor and maintain confidentiality.
Ability to set priorities and organize work effectively and efficiently.
Excellent communication skills
Proficient in Excel
Ability to work well in a team.
Associate’s degree in accounting. (Some business college training may also be required.)
Job Type: Full-time
Pay: $24.00 – $28.00 per hour
