General Position Summary

The Administrative Coordinator position is responsible for managing activities related to billing, logistics coordination and fleet maintenance. This position ensures that processes are carried out efficiently, meeting quality standards and ensuring effective communication with suppliers, customers and other departments.

Supervisory Responsibility:

This position does not carry supervisory responsibilities for personnel.

Essential Duties and Responsibilities:

Prepare, review and issue invoices to customers in an accurate and timely manner.

Verify accuracy of information on invoices and adjust when necessary.

Maintain organized records of invoices issued and paid.

Coordinate preventive and corrective maintenance of company vehicles.

Manage appointments and repairs with service shops.

Maintain up-to-date control of fleet status and usage.

Coordinate the pick-up of units and materials in the warehouse, ensuring that the established deadlines are met.

Oversee the flow of products between the warehouse and destination points.

Collaborate with the warehouse team to ensure the correct organization and availability of inventory.

Develop commercial proposals tailored to customer needs.

Ensure that proposals comply with commercial guidelines and company standards.

Follow up on proposals sent and maintain communication with customers.

Place purchase orders with local and international suppliers.

Verify that orders are received in the agreed terms and conditions.

Maintain effective relationships with suppliers to ensure the best service.

Create and maintain databases of customers, suppliers and fleet units.

Generate reports and analysis of operations performance.

Requirements:

Associate’s degree in Business Administration, Logistics, Operations or related field.

Minimum 2 years of experience in similar roles in logistics and billing.

Proficient in Microsoft Outlook, Excel and Word.

Organizational skills and ability to work under pressure.

Excellent verbal and written communication skills.

Ability to work in a team and adapt to a dynamic environment.

Excellent organizational and time management skills.

Ability to work independently and handle multiple tasks simultaneously.

Positive attitude, proactive and willing to work as part of a team.

Ability to prioritize tasks and manage time effectively in a dynamic environment.

Bilingual Spanish / English preferred.
