The Center for Philosophy of Religion is seeking a highly organized and proactive Administrative Coordinator to join our team. Driven by a commitment to advancing scholarship in philosophy of religion and Christian philosophy, we aim to foster intellectual growth, promote scholarly dialogue, and serve the common good through our research and educational programs. This position requires someone who can balance multiple responsibilities, from coordinating events and managing budgets to assisting faculty and maintaining office operations.

The ideal candidate will be a trusted resource for our faculty, students, and visitors, playing a key role in the Center’s academic mission. You will collaborate closely with the faculty directors and contribute to the overall success of the Center’s initiatives, helping to create an efficient, welcoming, and productive environment for all involved.

Essential Duties and Responsibilities:

Budget Assistance:
Track and monitor spending on multiple grants and funds for the Center for Philosophy of Religion/CPR faculty.
Address and resolve accounting and grant management issues as they arise.
Faculty Support:
Assist co-directors with processing paperwork for postdocs, visiting faculty, and faculty, including immigration-related documentation.
Prepare expense reports and assist with faculty hiring, including creating student jobs.
Handle special requests from faculty members, including processing payments and reimbursement requests.
Coordinate travel and lodging arrangements for guest speakers and conferences.
Reconcile Procard expenses and assist faculty with the Travel ND platform.
Advertise fellowships and assist with grant applications.
Participate in staff meetings with co-directors.
Event Coordination:
Organize local and remote conferences, meetings, and events.
Coordinate speaker invitations, travel arrangements, and event promotion for the discussion group series and related activities.
Ensure smooth event operations from logistics to follow-up communications.
Office Management:
Serve as the main receptionist for the office, greeting and assisting students, faculty, and visitors.
Manage incoming and outgoing communications, including phone calls, emails, and mail distribution.
Oversee ordering and inventory of office supplies, including graduation cords and department swag.
Maintain accurate files and records.
Monitor and manage faculty and graduate student calendars, book travel, and process travel reimbursements.
Assist in fundraising activities for the Center.
Website and Communication:
Maintain and update the Center’s website with news, events, and faculty bios.
Serve as the main point of contact for website-related inquiries and ensure content is up to date.
Proactively suggest website improvements and updates in collaboration with faculty.
Draft and send departmental communications as needed.
Other Duties:
Assist the co-directors with additional tasks and projects as assigned.
Contribute to special events and ongoing operations of the Center as required.

Minimum Qualifications:

Education & Experience:
Associates degree or up to 3 years of college or technical school
1-2 years of administrative experience

Skills
Excellent organizational and communication skills, ability to respond to multiple tasks and questions with frequent interruptions.
Must be self-motivated, take initiative, be able to reprioritize tasks and learn quickly
Must be able to maintain the confidentiality of student files and personnel issues.
Must have an excellent knowledge of grammar, punctuation, and spelling.
The ability to learn and negotiate new platforms in addition to experience with Word, Excel, and various web browsers is necessary.
