Position Summary
FairWind is seeking a proactive and detail-oriented Administrative Coordinator to support daily operations in our Houston office. This role will be critical in supporting technician training and logistics, maintaining accurate records, coordinating travel, managing IT equipment, and providing general administrative support to office and management teams.
Key Responsibilities
Plan and schedule technician trainings in collaboration with internal and external trainers
Assign Online Training and training planning and scheduling of techs
Maintain up-to-date digital records of all technician certifications and training documents
Monitor expiration dates and alert appropriate teams for renewals
Arrange domestic and international travel for field technicians and staff, including flights, accommodations, and transportation
Ensure travel aligns with project schedules and company policies
Assign, track, and maintain inventory of laptops, mobile phones, and related devices
Coordinate with IT support teams for setup, troubleshooting, and replacements
Act as the point of contact for general office needs and maintenance
Provide administrative support to the management team, including scheduling meetings, organizing files, and preparing documentation

Requirements
Prior experience in office administration, training coordination, or logistics preferred
Strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)
Excellent communication and interpersonal skills
Ability to manage multiple tasks and adapt to changing priorities
Experience with IT device tracking or inventory systems is a plus
