1. Administration Management:
- Oversee day-to-day office operations to ensure a well-maintained and organized work environment.
- Manage office supplies inventory and place orders as needed.
- Coordinate and manage internal and external communications, including mail, couriers, and email correspondence.
- Organize and maintain company records, files, and documentation for easy access and retrieval.
- Assist in the planning and execution of company events, meetings, and other activities.
- Coordinate hostel and accommodation arrangements (if applicable).
- Organize company events, training sessions, and employee welfare activities.
- Ensure proper document filing and records management.
- Coordinate HRDC claims where applicable.
2. Asset Management:
- Maintain an up-to-date inventory of company assets, including office equipment, furniture, and IT resources.
- Coordinate the procurement, maintenance, and disposal of office assets as required.
- Ensure proper tagging, tracking, and documentation of all assets.
- Oversee the management of worker hostels, ensuring they are well-maintained and comply with safety and hygiene standards.
- Address any issues or concerns related to worker hostels promptly and effectively.
· Conduct regular audits to verify the condition and location of assets, including hostel facilities.
3. Transport Management:
- Manage and coordinate company transport requirements, including the scheduling and maintenance of company vehicles.
- Ensure all vehicles are properly registered, insured, and compliant with legal requirements.
- Maintain accurate records of vehicle usage, fuel consumption, and maintenance schedules.
- Coordinate transportation arrangements for staff, visitors, and company events.
4. Security & Safety Management:
- Develop, implement, and maintain security protocols to protect company assets and personnel.
- Oversee the security team and ensure proper training and adherence to security procedures.
- Conduct regular safety inspections and audits to ensure compliance with safety regulations and standards.
- Coordinate safety training programs and drills for employees.
- Investigate and report any safety incidents, accidents, or near-misses, and implement corrective actions.
5. Licenses Management:
- Manage and maintain all necessary company licenses, permits, and certifications.
- Ensure timely renewals and compliance with relevant regulations and laws.
- Coordinate with relevant authorities and departments to ensure all licenses are current and valid.
- Maintain accurate records of all licenses and associated documentation.
- Perform any other expressed or implied duties as and when required by the superior.
- Comply and committed to company handbook and policies, ISO 9001, ISO 14001 and ISO 45001.
