Report to the Asst. Manager of Admin and Asso Director, CEO Office, the incumbent provides comprehensive administrative and executive support to ensure smooth daily operations of the department. This role supports the admin team and senior team members, manages routine office administration, and performs executive assistant duties such as scheduling, meeting coordination, and document preparation. The role requires a proactive, organised and resourceful individual who can handle multiple tasks with professionalism and discretion.

Job Descriptions:

  • Provide comprehensive administrative support including onboarding/offboarding, office supplies procurement, invoice processing, document maintenance, and reception back-up.
  • Coordinate with internal and external stakeholders on office facilities, supplies, equipment, and maintenance services.
  • Support office renovation and relocation projects; occasional weekend work may be required.
  • Provide executive assistant support including scheduling, calendar management, coordinating appointments/meetings/calls for senior staff.
  • Arrange travel bookings, accommodation, itineraries when required.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Support coordination of internal events, team activities, and management meetings.
  • Perform other ad hoc duties as assigned.

Job Requirements:

  • 2–4 years of administrative or executive support experience, preferably in sizable MNCs.
  • Exposure to office relocation and renovation projects is an advantage.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Chinese word processing.
  • Strong command of English and Chinese.
  • Diploma or above (Degree preferred).
  • Excellent communication skills, written and verbal.
  • Detail‑minded, proactive, self‑motivated, and able to work in a fast-paced environment.
  • Strong teamwork, problem-solving, organizational skills; resourceful.
  • High level of professionalism, discretion, and interpersonal skills.
  • Knowledge in office facility management (preferred).
