About Digital India Foundation
Digital India Foundation is a policy research organisation working on technology policy, digital public infrastructure and India's role in the global digital economy. Our work covers research, public engagement and partnerships with academic and institutional stakeholders. The team is small, and the office depends on strong, dependable administrative support.
Role Summary
The Administrative Officer is responsible for the daily running of our Noida office of about 20 people. The role covers office operations, facilities, records, scheduling and logistics. The successful candidate will be organised, disciplined and able to keep the office functioning without close supervision.
Key Responsibilities
Office operations
- Oversee daily office operations and keep the workplace running efficiently
- Manage facilities, supplies, equipment and vendor relationships
- Keep the workplace orderly, professional and welcoming
Administration and records
- Maintain accurate records, files and correspondence, both physical and digital
- Coordinate scheduling, meetings, calendars and visitor arrangements
- Manage travel logistics and bookings for the team
Finance and compliance support
- Support procurement processes and coordinate with vendors on quotations and orders
- Assist with basic accounts coordination, invoicing follow-up and expense tracking
- Help maintain compliance documentation and statutory paperwork
Events and coordination
- Provide logistical support for events, workshops and meetings
- Liaise with internal teams and external partners on operational matters
Essential
- A proven record of running an office or administrative function efficiently
- Strong organisation, discipline and attention to detail
- Clear written and spoken English
- Competence with everyday office software and digital tools
- A calm, reliable approach to managing competing priorities and deadlines
- Integrity and discretion when handling sensitive information
Preferred
