Job Description
Job Purpose:
- To deliver professional, efficient, and centralized administrative and secretarial support to the MLIP central marketing team and leadership. This role ensures standardized daily office operations, smooth cross-department and cross-region coordination, accurate marketing data and document management, and orderly backend support for marketing budgets and projects, thereby improving overall team operational efficiency and ensuring the stable and effective execution of all MLIP marketing work.
Responsibilities
- Provide comprehensive secretarial and daily administrative support to the central marketing team, covering routine office operations, business correspondence processing, accurate data entry, standardized document formatting, and systematic classified filing of all marketing documents and contracts.
- Manage the department head’s daily work calendar; coordinate and schedule official appointments; prepare relevant materials in advance for internal & cross-regional marketing meetings; and record meeting minutes and track follow-up action items.
- Handle end-to-end business trip logistics and travel arrangements for the team and leadership, including booking, arrangements, and follow-up on related travel matters.
- Oversee centralized administrative operations, guide internal administrative work, and continuously optimize team workflow and overall operational efficiency for the central marketing team.
- Act as the liaison to communicate with and coordinate internal cross-departmental teams and regional branches.
- Assist in marketing budget sorting, cost tracking, and project back-office support.
- Compile regular marketing operation data reports and complete all temporary ad-hoc administrative duties assigned by the leadership.
Requirements
- Bachelor’s degree in Business Administration, Marketing, Administration or related disciplines, with 3-4 years of relevant administrative, secretarial or marketing back-office working experience; commercial real estate or brand marketing industry experience is preferred.
- Proficient in the Microsoft Office suite, skilled in official document formatting, data sorting, and report compilation, with standard and rigorous office operation habits.
- Strong calendar management, meeting coordination, and full-process business trip arrangement capabilities, able to independently handle daily administrative affairs.
- Excellent cross-team communication and liaison skills, able to efficiently collaborate with internal departments and regional branches.
- Meticulous, highly organized, and result-oriented, with strong multitasking ability and workflow optimization awareness.
- Good logical thinking and data sensitivity, capable of assisting in marketing cost tracking and daily data sorting.
- High sense of responsibility, strict confidentiality awareness, and good stress resistance, able to respond properly to ad-hoc work arrangements.
- Fluent in Chinese with basic English reading and writing ability for daily work communication.
- A candidate with less experience will be considered as an Assistant Administrative Officer
