Encore Venues is looking for an organised, proactive and music-loving Administration Officer to join our growing team.
Encore Venues represents some of Australia’s most respected live music venues, including The Timber Yard, 170 Russell, Max Watts, Crowbar Brisbane and Crowbar Sydney. Our focus is simple: creating unforgettable live music experiences and helping venues, promoters and artists deliver seamless shows from start to finish.
This role sits at the centre of our operations, supporting the team across contracting, ticketing, show advancing, settlements, marketing administration and venue programming.
The role will primarily support Encore Venues, while also assisting related entities including Teamwrk Touring and Pillar Talent Agency with similar administration tasks where required.

Key Responsibilities
Contracting & Finance
- Prepare and prefill venue agreement templates.
- Manage the contract execution process from issue through to signing.
- Request deposit invoices and distribute them to promoters.
- Follow up on unsigned agreements and outstanding administration.
- Prepare post-show settlement templates.
- Liaise with promoters to finalise figures and request payouts.
Ticketing & Show Advancing
- Manage ticketing builds through Moshtix, Oztix and other ticketing providers.
- Coordinate with ticketing platforms for more complex show requirements.
- Prefill venue worksheets and assist with show advancing.
- Confirm set times and distribute relevant show information.
Marketing & Database Management
- Assist with weekly or fortnightly mailouts to the Encore Venues database.
- Coordinate targeted EDM campaigns for specific tours and shows.
- Support show announcements and updates across Encore Venues’ Instagram and Facebook pages.
Operations & Programming
- Maintain accurate records of contracts, settlements, ticket sales and key show information.
- Keep internal spreadsheets and tracking documents up to date.
- Assist with local bookings for mid-week and off-night venue programming.
- Support the wider team to ensure each venue has a strong and consistent calendar.
Broader Group Support
- Support related entities, including Teamwrk Touring and Pillar Talent Agency, with similar administration tasks where required.
- Assist across contracting, ticketing, settlements, show advancing and general operational administration when additional support is needed.
- Work collaboratively across the broader group to help maintain strong systems, clear communication and consistent execution.
About You
The ideal candidate will have:
- Experience in venue booking or management, events, live music, artist relations, administration or a similar role.
- Experience with ticketing builds.
- Strong written and verbal communication skills.
- Excellent organisation and attention to detail.
- Confidence managing competing priorities and deadlines.
- Strong Google Sheets, Excel and Microsoft Office skills.
- Experience with ticketing or booking systems, preferably Moshtix and/or Oztix.
- A proactive attitude and willingness to solve problems quickly.
- A genuine interest in live music and the behind-the-scenes work that makes shows happen.
