About The Role

We are seeking a highly organized and proactive Administrative and Operations Associate to join our remote-first team. This full-time position involves supporting the day-to-day administrative, operational, financial, and communications functions of CCAI. The successful candidate will work closely with the Executive Director and other senior staff to establish and optimize organizational processes, manage infrastructure, and facilitate smooth execution of projects and initiatives. The role requires a self-starter attitude, excellent communication skills, and the ability to work efficiently in a fully remote environment. The Associate will be responsible for maintaining organizational systems, supporting event logistics, managing digital files, processing financial transactions, and assisting with external communications. Qualifications

  • Minimum of 2 years of relevant work experience in administration, operations, or related fields
  • Proficiency with Google Workspace (Google Drive, Docs, Sheets) and Microsoft Excel
  • Experience with digital communication tools such as Slack and Zoom
  • Strong verbal and written communication skills in English
  • Excellent organizational and time-management skills with the ability to prioritize multiple tasks
  • Attention to detail and accuracy in work
  • Experience designing and maintaining operational tools and systems
  • Comfort working independently in a remote environment
  • Ability to learn new digital tools and software quickly
  • Legal authorization to work in the United States without sponsorship

Responsibilities

  • Design, implement, and maintain the organization’s CRM database, expense tracking, and reporting systems to support community-building and educational initiatives
  • Support website maintenance by identifying and implementing necessary updates
  • Catalog and collect organizational metrics and statistics for reporting and analysis
  • Organize digital files and internal infrastructure to ensure efficient access and collaboration
  • Process invoices, reimbursement requests, and execute payments accurately and timely
  • Reconcile monthly accounts within the local accounting system
  • Identify and implement organizational process improvements to enhance efficiency
  • Set up and maintain legal, financial, and logistical infrastructure to support organizational activities
  • Assist with external communications including email correspondence and outreach
  • Coordinate volunteer and staff hiring, onboarding, and logistical arrangements
  • Manage calendars, schedule meetings, and coordinate travel bookings for team members and event participants
  • Support the organization of CCAI events, including online registration setup and logistics
  • Provide additional administrative support to staff and volunteer teams as needed
