My client, a growing investment management firm in the San Francisco Bay Area, is seeking an Administrative Operations Coordinator to support a collaborative corporate team responsible for business development, administrative duties, relationship management, and strategic initiatives.
This is an outstanding opportunity for an organized, detail-oriented professional who enjoys balancing operational support, CRM management, project coordination, and event planning. Responsibilities
- Coordinate complex calendars, meetings, and domestic travel arrangements for multiple team members
- Maintain CRM data, ensuring records remain organized, accurate, and up to date
- Generate reports, track business development activity, and assist with pipeline reporting
- Coordinate agreements and supporting documentation while partnering with internal stakeholders to ensure timely execution
- Assist with vendor communications, invoice tracking, expense reporting, and budget administration
- Support marketing initiatives by coordinating presentation materials, company collateral, and digital content updates
- Help organize corporate events, industry conferences, and networking opportunities throughout the year
- Serve as a liaison between internal teams and external business partners to ensure projects move forward efficiently
- Assist with process improvements by leveraging technology and AI tools to streamline administrative workflows
- Support special projects and cross-functional initiatives as the team continues to grow
Qualifications
- Bachelor's degree required
- Previous administrative, operations, project coordination, or business support experience preferred (internships welcome)
- Strong organizational skills with exceptional attention to detail
- Comfortable managing multiple priorities in a deadline-driven environment
- Proficiency with Microsoft Office; CRM experience such as Salesforce is a plus
- Interest in emerging technology and AI tools to improve efficiency
- Excellent written and verbal communication skills
- Positive, proactive attitude with a willingness to jump in wherever needed
- Team-oriented while also able to work independently and take ownership of projects
