Investigative Consultants is seeking a motivated and detail-oriented Administrative & Data Specialist to join our team!
The ideal candidate is highly organized, detail-oriented, and comfortable working with data, spreadsheets, online portals, and administrative systems. This position will support the Finance and Operations teams by maintaining accurate records, entering and reviewing data, submitting information through various client portals, assisting with audits, and completing administrative tasks.
Responsibilities
- Prepare invoices
- Accurately enter and maintain client, financial, and procedural data in various business systems
- Review data for accuracy, completeness, and consistency
- Submit invoices, reports, and other required documentation through various client portals
- Monitor portal submissions and follow up on outstanding items
- Assist with internal and external audits, including gathering and organizing supporting documentation
- Reconcile and cross-check information between spreadsheets, reports, portals, and internal systems
- Maintain organized electronic records and documentation
- Assist with data quality control and identify discrepancies or missing information
- Prepare spreadsheets, reports, and other administrative documents
- Assist with tracking payments, submissions, and outstanding items
- Follow established data integrity, confidentiality, and security procedures
- Assist the Finance and Operations teams with administrative projects and day-to-day tasks
- Help identify opportunities to improve administrative processes and procedures
- Complete assignments accurately and within established deadlines
- Occasional travel within a 25-mile radius
Requirements
- Previous experience in an administrative, data entry, operations, or similar role
- Strong data entry and data quality control skills
- Proficient in Microsoft Office, particularly Excel
- Strong attention to detail and ability to identify discrepancies
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Ability to work independently and collaboratively
- Ability to manage multiple priorities in a fast-paced environment
- Strong computer skills and ability to learn new software and online portals
- Ability to maintain confidentiality when handling business and financial information
Preferred Qualifications
Successful candidates will also possess the following:
- Experience working with online business/client portals
- Experience assisting with audits or compliance reviews
- Experience with spreadsheets and data reconciliation
- QuickBooks experience
- Strong problem-solving skills and ability to identify process improvements
- Ability to communicate with management regarding policies and procedures
Position Details
This is a full-time position based in Woodland Hills, CA. Candidates must live in the greater Los Angeles area and have reliable transportation.
