Job Summary

We are seeking an experienced and detail-oriented Administrative Assistant III / Talent Acquisition Administrative Coordinator to support recruiting operations and administrative functions for the Talent Acquisition team. The ideal candidate will ensure efficient, accurate, and compliant hiring processes while delivering excellent support to recruiters, candidates, hiring managers, and leadership.

Key Responsibilities

  • Provide administrative and coordination support to the Talent Acquisition team and recruiting leadership.
  • Create and manage job requisitions and maintain recruiting documentation.
  • Coordinate interview scheduling across multiple time zones (phone, virtual, and onsite).
  • Manage candidate background checks, drug screening, and pre-employment testing processes.
  • Track and verify pre-employment results while maintaining compliance standards.
  • Prepare, proofread, and distribute employment offer letters in partnership with recruiters.
  • Maintain and update recruiting content on SharePoint and internal systems.
  • Manage internal and external recruiting mailboxes with professionalism.
  • Coordinate candidate and recruiter travel arrangements through Concur.
  • Process invoices and support day-to-day administrative activities.
  • Maintain pre-employment tracking and ensure data accuracy within recruiting systems.
  • Support Hiring Managers with onboarding and pre-boarding activities.
  • Serve as a point of contact for candidates and provide timely updates throughout the hiring process.
  • Maintain confidentiality and recommend process improvements where applicable.

Required Qualifications

  • High School Diploma or GED required.
  • Minimum 7+ years of experience in administrative support, recruiting coordination, HR coordination, or related roles.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience handling confidential information with professionalism.
  • Strong organizational, customer service, and interpersonal skills.

Preferred Qualifications

  • Experience with Oracle HCM / Oracle Recruiting Cloud.
  • Experience maintaining SharePoint content.
  • Knowledge of Applicant Tracking Systems (ATS) and recruiting processes.
  • Experience with Concur travel coordination.

Preferred Background

Candidates with experience as Recruiting Coordinator, Talent Acquisition Coordinator, HR Coordinator, Administrative Coordinator, HR Operations, or Recruiting Operations are strongly preferred.
