Responsibilities
1. Business Travel & Expense Management (30%)
Arrange domestic and international business travel, including transportation, accommodation, and travel insurance.
Manage travel-related expenses and reimbursement processes; ensure timely and accurate reporting.
Coordinate with vendors for flight, hotel, and taxi bookings; oversee taxi card issuance, usage tracking, and monthly settlements.
Ensure travel policies are followed and provide travel-related support to employees and management.
2. Work Permit & TRC for Expat Support (20%)
Coordinate and process applications for work permits, temporary residence cards (TRCs), and visa extensions for foreign employees.
Liaise with government authorities and service providers to ensure compliance with local labor and immigration regulations.
Maintain accurate records of all expat-related documents and deadlines.
3. General Administration & Support (50%)
Office Administration & Facilities Management: Oversee maintenance, utilities, supplies, vendor contracts, and ensure a well-functioning workplace.
Employee Support & Welfare: Organize health check-ups, team activities, manage allowances and welfare programs, and process payments.
Procurement & Asset Management: Handle office procurement and equipment maintenance; track assets and vendor services.
New Employee Onboarding Support: Prepare workstations, coordinate seating plans, and support onboarding logistics.
Event Management: Support corporate event planning, liaise with venues and vendors, and manage execution logistics.
Qualifications
Bachelor’s degree in Business Administration, Office Management, Human Resources, or a related field.
Minimum 2 years of experience in business travel & expense management and/or handling work permit & TRC processes for expats.
Strong knowledge of administrative operations, vendor management, and employee support services.
Excellent organizational and multitasking abilities with attention to detail.
Proficient in Microsoft Office, Google Workspace, and expense management tools.
Strong communication skills, good command of English, both written and verbal.
Able to work independently and efficiently in a dynamic, fast-paced environment.
Experience managing office logistics and supporting cross-functional teams is a plus.
Prior experience with government authorities or third-party expat service providers is highly preferred.
