Role Description The Administrative Specialist III is a full-time, on-site position located in Pine Bluff, AR. This role provides advanced administrative support to a department or unit, including managing calendars, scheduling meetings, organizing records, and preparing correspondence and reports. The Administrative Specialist III assists with data entry, tracking departmental budgets, processing financial and purchasing documents, and maintaining accurate files. The position serves as a primary point of contact for students, faculty, staff, and visitors, offering courteous customer service and clear information about departmental processes. The role may also coordinate events, support special projects, and ensure compliance with university policies and procedures.
Qualifications
- Strong communication skills, including clear written and verbal communication and the ability to interact effectively with diverse stakeholders.
- Analytical skills to interpret data, reconcile records, and support problem-solving and decision-making.
- Proficiency in administrative assistance tasks such as scheduling, record management, document preparation, and office coordination.
- Customer service skills to respond professionally to inquiries, resolve issues, and provide supportive service to students, faculty, staff, and visitors.
- Basic finance skills to assist with budgeting, expense tracking, and processing financial transactions in accordance with university guidelines.
- Experience using office software (e.g., word processing, Workday, spreadsheets, databases, email, and calendaring tools).
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
- High school diploma or equivalent required; associate or bachelor’s degree in business, administration, or related field is preferred.
- Prior experience in higher education or a complex institutional environment is beneficial.
- The Administrative Specialist III is responsible for coordinating office activities and managing Workday requisitions and related tasks for the Division of University College. This role requires flexibility, the ability to maintain confidentiality, work both independently and as part of a team, and to work efficiently and productively. May require travel to other campus locations as needed.
- Research, prepare, examine, and verify documents and special reports, as well as develop, revise, and recommend administrative policies and procedures as directed by the Dean/Executive Director.
- Ensure that supplies and equipment are ordered and delivered in a timely manner and recorded properly in Workday.
- Maintain meeting minutes as needed, schedule meetings, and follow up for advisory committee meetings and other activities.
- Assist with the AA degree application process.
- Collaborate with procurement and finance for equipment and supply orders.
- Required Requirements
- Associate’s degree or higher
- 1-2 years of experience in an administrative role with increasing responsibilities.
- Demonstrates professionalism and exceptional customer service skills
- Team oriented
- Proficient in MS Word, Excel, and PowerPoint
- Displays a positive attitude and effective written and oral communication skills.
- Prepares spreadsheets, documents, reports, and presentations.
- Excellent organizational skills and attention to detail
- Provides clerical and administrative support to supervisory and professional staff.
- Serves as administrative manager for Dean/Executive Director’s office.
- Works with students to ensure their needs are met regarding referrals, paperwork assistance, advisement appointments, etc.
- Preferred Qualifications:
- Bachelor’s degree
- Professional administration experience in a higher education environment.
- 2-3 years of experience in an administrative role with increasing responsibilities
