As part of our BTEC and Apprenticeships division , we are seeking an organised, proactive, and detail-oriented Administrative Assistant to support the success of our apprenticeship programmes across the UK.

About The Role

As an Administrative Assistant in our Apprenticeship Programme Team , you will play a vital role in supporting the smooth and compliant delivery of apprenticeship provision. This includes managing important documentation, generating performance reports, and ensuring the timely coordination of learner processes such as breaks in learning and withdrawals.

You’ll be working remotely as part of a collaborative team, supporting the Programme Manager and liaising with internal teams and external partners to help deliver high-quality, learner-focused services.

What You’ll Be Doing

Preparing and formatting reports, presentations, and performance summaries for key stakeholders

Conducting compliance checks on apprenticeship documentation in line with ESFA funding rules

Creating and distributing weekly performance reports using Excel (e.g., VLOOKUPs, pivot tables, IF statements)

Monitoring submission deadlines for Breaks in Learning, withdrawals, and Planned Programme End Dates

Maintaining accurate records and filing documentation in line with data protection policies

Supporting meetings with scheduling, agendas, minutes, and action tracking

Responding professionally to internal and external queries, escalating where needed

Assisting with calendar and inbox management for the Programme Manager

Continuously identifying ways to streamline admin processes and improve efficiency

What We’re Looking For

Essential Skills & Experience:

Proven experience in an administrative support role

Proficient in Microsoft Office, especially Excel (strong data handling and reporting skills)

Strong communication, organisational, and problem-solving skills

High attention to detail and ability to manage multiple priorities

Collaborative mindset with a proactive, can-do attitude

Comfortable working in a remote environment

Desirable

Experience in an apprenticeship or training provider setting

Familiarity with ESFA funding requirements or Ofsted audits

Knowledge of MIS systems and e-portfolio platforms

Working Arrangements

Remote (UK-based applicants only)

Full-time: 37.5 hours per week

Standard working pattern: Monday to Friday, 8 AM – 5 PM
