Position Summary

The Administrative Support and Budget Coordinator supports the Office for AANHPISI Affairs & APIDA Center within the Division of Student Affairs and Campus Diversity at San Diego State University. Reporting directly to the Executive Director for AANHPISI Affairs, this position coordinates clerical, fiscal, and administrative support functions to ensure compliance with institutional policies, funding requirements, and the Office’s mission and strategic goals.

In

this role, the Coordinator will:

  • Provide comprehensive administrative and clerical support to the Executive Director, including drafting correspondence, managing calendars and meetings, maintaining organized records, and supporting operational standards.
  • Coordinate reception and front office functions while delivering excellent customer service to campus and community partners.
  • Support event logistics and travel coordination, including room reservations, payments, hospitality documentation, Concur delegation, and post-event documentation.
  • Manage fiscal coordination functions, including drafting budgets, preparing projections, tracking revenue and expenditures, reconciling accounts and contracts, processing purchase orders and reimbursements, and preparing periodic financial reports.
  • Serve as liaison to Resource Management, Business and Financial Affairs, and Human Resources to prepare and submit administrative and budget requirements.

This position plays a vital role in ensuring the efficient daily operations, fiscal compliance, and administrative integrity of the Office for AANHPISI Affairs & APIDA Center.

Key Responsibilities

  • Coordinate administrative and clerical support for the Executive Director and Office operations.
  • Manage budget tracking, reconciliation, fiscal reporting, purchasing, and compliance documentation.
  • Process payroll, hiring paperwork, and human resources forms for professional and student staff.
  • Support CSU AANHPI Student Achievement Program reporting and renewal efforts.
  • Coordinate event planning logistics, travel arrangements, purchasing documentation, and internal/external communications.

Position Information

  • This is a full‑time (1.0 time‑base), benefits eligible, temporary position with an anticipated end date of June 30, 2027, with the possibility of reappointment.
  • This position is designated as non‑exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.
