Job Description:
We are looking for a proactive and detail-oriented Bilingual (Chinese and English) Administrative Support to join our team. This role supports the day-to-day operations of our office and ensures a seamless and efficient work environment for all employees.
Responsibilities:
Warehouse Contract Management: Manage various contracts related to the warehouse, ensuring timely renewals and compliance with company policies and legal requirements.
Utilities Management (Office & Warehouse): Oversee the proper operation of utilities such as water, electricity, and gas in both the office and warehouse. Report and coordinate repair or service issues in a timely manner.
Procurement Management (Office & Warehouse): Responsible for the procurement of supplies for both the office and warehouse, including drinking water and employee welfare items. Monitor inventory levels, update purchase lists, and report procurement needs to the administrative specialist or supervisor.
Warehouse Insurance Management: Manage warehouse insurance matters, including policy renewals, coverage updates, and communication with insurance providers to ensure proper protection of company assets.
Warehouse Bill Management (Water, Electricity, etc.): Handle utility bills related to the warehouse, ensuring timely payments and accurate record-keeping for financial accounting and budget planning.
Inventory and Supplies Management: Manage the inventory of office supplies, maintain organized storage, ensure the availability of commonly used items, and develop procurement plans as needed.
File and Records Management: Organize, archive, and manage company files, contracts, and employee records to ensure accuracy, confidentiality, and ease of access.
Administrative Documentation Maintenance: Assist in updating and maintaining internal administrative documents to ensure employees have access to the most up-to-date information and procedures.
Employee Support Services: Handle routine administrative tasks such as distributing ID cards and office supplies, and respond to basic administrative inquiries from employees.
Expense and Reimbursement Support: Assist in organizing receipts and invoices for departmental reimbursements to ensure a smooth and efficient reimbursement process.
Budget Support: Track daily administrative expenses and provide data support for effective budget control and planning.
Safety and Emergency Compliance Management: Conduct regular safety inspections for both the office and warehouse to ensure compliance with safety regulations, and assist in implementing emergency response plans such as fire drills to protect employee safety.
Qualifications:
Language:Fluency in both Chinese (Mandarin) and English is required.
Experience: Previous experience in administrative support, office management, or a related role is preferred.
Skills: Strong organizational skills, attention to detail, and ability to manage multiple tasks. Basic proficiency in Microsoft Office (Word, Excel, Outlook).
Communication: Excellent interpersonal and communication skills for handling inquiries, visitors, and internal support tasks.
Problem-Solving: Resourceful, with the ability to handle basic maintenance tasks and solve issues independently.
Professionalism: Friendly, professional, and able to maintain confidentiality when handling company and employee records.

Pay: $22.00 – $23.00 per hour
