Position:  Administrative Support Specialist (Entry Level)

Valley Fire Protection Systems, LLC is seeking an entry-level Administrative Support Specialist to join our dedicated team. This position is vital to ensuring that our operations run smoothly and efficiently. The Administrative Support Specialist will assist in a variety of administrative tasks, providing support to our staff and contributing to the overall productivity of the company.

Job Description:

Support all members of our Indiana office.

Handle all administrative duties for the office, such as but not limited to, answering phones, scheduling, and plotting job documents.

Work with architects and municipalities to obtain project information such as CAD backgrounds and permits.

Organize and represent Valley Fire Protection at trade and business events including display booths, materials and giveaways.

Schedule visits and correspondence to new and existing customers.

Review timesheets and submit to payroll.

Coordinate employee activities.

Submit engineering projects including document preparation, UPS labels, update job schedules, and copy project submittals to files, finance department, and sales.

Assist accounting department with account collections by contacting customers verbally, in writing, and/or in person as assigned.

Other miscellaneous duties as required.

Valid driver’s license with reliable means of transportationa must

Previous relevant support work experience

Website and Social Media experience

Experience with fire sprinkler systems andcustomer interactiona plus
