Introduction
We are a professional Quantity Surveying and Construction Consultancy seeking a competent and detail-oriented Administrative & Tender Support Officer to join our team. The successful candidate will play a key role in supporting project administration, document control, and the preparation and submission of tender documentation in line with industry standards and contractual requirements.
Key Responsibilities
General Administration
- Provide administrative support to Quantity Surveyors
- Manage project correspondence, including instructions, reports, and meeting documentation
- Schedule and coordinate site meetings, progress meetings, and tender briefings
- Prepare agendas, record minutes, and track action items
- Assist in the preparation and formatting of professional reports and payment certificates
Document Control & Project Administration
- Maintain structured filing systems for all project documentation (drawings, specifications, BOQs, correspondence)
- Implement and manage document control procedures in line with consultancy standards
- Ensure proper version control of drawings and contract documents
- Track issued drawings, revisions, and site instructions
- Assist with compiling contract documentation (e.g., JBCC agreements, addenda, and contract data)
Tender Administration Support
- Monitor tender portals (e.g., National Treasury eTender Portal, CIDB) and other procurement platforms
- Download and distribute tender documents, drawings, and specifications
- Compile complete tender submissions, including administrative, technical, and commercial components
- Ensure all returnable schedules and forms are completed accurately and signed
- Prepare compliance checklists to ensure adherence to client and statutory requirements
- Manage tender submission processes (electronic and physical), ensuring strict adherence to deadlines
Compliance & Regulatory Requirements
- Maintain an up-to-date database of company compliance documentation, including:
- South African Revenue Service tax clearance status
- Companies and Intellectual Property Commission registration documents
- CIDB grading and compliance
- BBBEE certificates and other statutory requirements
- Ensure all tender submissions are fully compliant with client and regulatory requirements
Coordination & Communication
- Liaise with internal professional team members (QS, engineers, architects) for tender and project information
- Engage with clients, contractors, and consultants where necessary for clarifications
- Follow up on outstanding documentation and approvals
Minimum Requirements
- Matric minimum + Diploma in Office Admin/Business beneficial
- 2+ years’ experience in an administrative role – preferable, but not limited to, within a construction or QS consultancy environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiar with CSD, eTender Portal, CIDB, SARS eFiling
- Excellent communication, time management, and able to work under deadline pressure
- Driver’s licence will be advantageous
