Role Description
The Calm Planet is looking for a highly reliable Remote Front Desk Administrator / Client Care Coordinator based in Pakistan to manage client communication during U.S. Eastern Time business hours.
The main responsibility of this role is to answer phone calls, respond to emails, schedule appointments, and ensure that no client inquiry or phone call is missed during the working day. The selected candidate must be fully available Monday to Friday from 9:00 AM to 5:00 PM Eastern Time and must remain attentive to calls, emails, and appointment updates throughout the shift.
This role is ideal for someone who is organized, professional, responsive, and comfortable communicating with U.S.-based clients. The candidate should have excellent spoken and written English, with a clear, confident, and preferably American-style English accent.
The Administrator will serve as the first point of contact for clients and inquiries, helping create a warm, professional, and supportive experience for anyone contacting The Calm Planet.
Key Responsibilities
Answer incoming phone calls during 9:00 AM to 5:00 PM Eastern Time, Monday to Friday.
Ensure that calls are not missed and that all client inquiries are handled promptly and professionally.
Respond to emails in a timely, clear, and respectful manner.
Schedule, reschedule, and confirm client appointments.
Conduct appointment check-ins and follow-ups as instructed.
Maintain and update the appointment calendar accurately.
Share important client messages, scheduling updates, and inquiries with the founder or relevant team member.
Keep simple records of calls, emails, appointment changes, and client communication.
Maintain confidentiality and professionalism at all times, especially because the organization works in the mental health and well-being space.
Requirements
Must be available Monday to Friday from 9:00 AM to 5:00 PM Eastern Time.
Excellent spoken and written English.
Clear, professional, and confident phone communication skills.
Neutral or preferably American-style English accent.
Strong attention to detail and ability to manage appointments accurately.
Highly reliable, punctual, and responsive.
Ability to ensure that calls and emails are not missed during working hours.
Comfortable using email, online calendars, phone systems, and basic office tools such as Google Workspace or Microsoft Office.
Ability to work independently and follow instructions carefully.
Respectful, discreet, and empathetic communication style.
Prior experience as a receptionist, virtual assistant, front desk coordinator, call handler, client support representative, or administrative assistant is preferred.
- Experience working with U.S.-based clients is an advantage.
