Duties & Responsibilities

Account & Financial Administration

  • Capture, verify, and process invoices, delivery notes, and purchase orders accurately.
  • Ensure invoices are authorised and suppliers are paid timeously.
  • Liaise with Procurement, vendors, and internal stakeholders to resolve queries and discrepancies.
  • Maintain accurate vendor, purchase order, and payment records.
  • Escalate unresolved issues to Project Managers or Line Management when required.

Administrative Support

  • Provide effective day-to-day administrative support to ensure uninterrupted workflow.
  • Manage sensitive information and reports in line with confidentiality requirements.
  • Communicate regularly with internal teams, customers, and suppliers.
  • Identify and support process improvements to enhance efficiency and turnaround times.
  • Customer Service & Reporting Respond to and resolve customer and supplier queries promptly.
  • Prepare weekly and monthly project reports, statistics, and presentations as required.
  • Maintain professional supplier relationships and manage conflict constructively.

Compliance & Additional Duties

  • Adhere to DSFM SHEQ policies, procedures, and quality standards.
  • Perform additional tasks as required to support operational sustainability.
  • Take accountability for own performance and professional conduct.

Qualifications

  • Grade 12 (non-negotiable)
  • Elementary Bookkeeping
  • Minimum 3 years’ experience in an administrative or finance environment
  • Intermediate Excel skills
  • Experience working with multiple stakeholders
