Our firm is a PRC-headquartered law firm with an established presence across multiple jurisdictions. We are seeking a capable and detail-oriented Administrative Secretary to join our Singapore office, providing comprehensive administrative, secretarial and front-office support to fee earners and management, and ensuring the smooth and professional day-to-day operation of the office. This is an excellent opportunity for an organised professional with strong bilingual communication skills to grow within an international legal environment.

Key Responsibilities  主要职责

• Provide day-to-day administrative and secretarial support to lawyers and management, including diary management, scheduling meetings, and coordinating communications.

为律师及管理层提供日常行政与秘书支持,包括日程管理、会议安排以及内外部沟通协调。

• Serve as the first point of contact at the front desk: greet clients and visitors, manage incoming calls and correspondence, and present a professional image of the firm.

担任前台首要联系人:接待客户与来访者,处理来电与信函,展现律所的专业形象。

• Prepare, format, proofread and manage documents, letters, presentations and reports in both English and Chinese.

以中英文准备、排版、校对并管理文件、信函、演示文稿及报告。

• Handle basic finance and accounting tasks, including invoices, expense claims, petty cash and billing support, liaising with external accountants where required.

处理基础财务与会计事务,包括发票、费用报销、备用金及账单支持,必要时与外部会计对接。

• Maintain accurate filing systems (physical and electronic), client records and office documentation in line with firm and confidentiality requirements.

• Coordinate travel arrangements, accommodation and itineraries for lawyers and visiting colleagues.

• Assist with office management duties such as ordering supplies, liaising with building management and vendors, and supporting office events and meetings.

协助办公室管理事务,如采购办公用品、与大厦物业及供应商联系,并支持办公室活动与会议。

• Support cross-border coordination with the firm's other offices, including time-zone-sensitive scheduling and correspondence.

Requirements  任职要求

• Bachelor's degree from a recognised university.

本科及以上学历,毕业于认可院校。

• Fluent in spoken and written English; proficiency in Mandarin Chinese is essential given the firm's PRC headquarters and bilingual working environment.

英文口语与书面表达流利;鉴于律所总部位于中国及双语工作环境,中文(普通话)流利为必备条件。

• Working knowledge of finance and bookkeeping fundamentals (invoicing, expense and billing processes).

掌握财务与记账基础知识(开票、费用与账单流程)。

• Proficient in Microsoft Office, including Word, Excel, PowerPoint and Outlook.

• Strong organisational skills, attention to detail, and the ability to manage multiple priorities and deadlines.

Preferred Qualifications  加分条件

• Prior experience working in a law firm or other professional services environment.

具有律所或其他专业服务机构工作经验者优先。

• Familiarity with legal documentation, billing systems or practice-management software.

熟悉法律文书、账单系统或执业管理软件。

• Experience supporting cross-border or multi-jurisdictional teams.
