The ideal candidate will have a minimum of 3 years of proven experience in roles such as administrator, customer service, sales, service coordinator, or a similar position that involves direct interaction with clients. This role requires providing administrative support to the sales and marketing teams and effectively communicating with clients. Responsibilities will include handling and responding to sales leads via online chat and email, scheduling appointments, managing customer databases, researching customer information, and coordinating quotations and agreements.
Responsibilities:
Update and maintain company databases and records.
Manage agendas and appointments for the sales team.
Handle phone calls and correspondence (e-mails, letters, etc.).
Prepare and submit timely reports, presentations, and proposals.
Respond to and manage client requests and needs promptly.
Provide support to colleagues whenever necessary.
Answer and screen internal and external phone calls, messages, and emails.
Schedule appointments for the sales department and clients.
Maintain and update sales and customer records.
Track and monitor the sales team’s communication with customers.
Prepare and file sales contracts and agreements.
Collaborate with other departments on administrative matters.
Conduct research on sales leads and customers.
Requirements:
Excellent administrative skills with a strong attention to detail.
A proactive, can-do attitude and mindset.
Strong English language skills (spoken and written).
Outstanding communication and interpersonal abilities, with the confidence to interact professionally with clients.
Excellent organizational and problem-solving skills.
Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
Familiarity with online meeting software (Zoom, MS Teams, Google Meet).
Experience with Adobe Photoshop and other editing software is an advantage.
