About the Role
We are a growing pump services, tanker drainage and plumbing company supporting commercial and industrial clients across the UK. We are seeking a highly organised Administrator to support our Pump Division, with a structured development pathway into a Contract Maintenance Account Manager role. This is an excellent opportunity for someone looking to build a long-term career within a technical, customer-focused environment, gaining exposure to contracts, operations, and client management within the commercial building sector.
Key Responsibilities
Administrative Support
- Manage incoming enquiries, service requests, and job bookings
- Raise and process quotations, purchase orders, work orders, job cards and RAMS
- Maintain accurate records across CRM and internal systems
- Support scheduling of engineers and coordination of pump division services
- Coordinate with the Helpdesk
Customer & Client Support
- Act as a first point of contact for commercial and industrial customers
- Provide updates on job progress, service delivery, and timelines
- Build strong working relationships with repeat and contract clients
- Assist in handling queries and resolving issues efficiently
Operational Coordination
- Liaise with pump engineers and pump specialists/suppliers
- Ensure jobs are completed within agreed timeframes and service levels
- Support contract administration and documentation
Commercial & Contract Support
- Assist in preparing quotes, tenders, and service agreements
- Support contract renewals and track key dates
- Monitor job costs and assist with margin awareness
- Identify opportunities to upsell additional services (e.g. maintenance, emergency callouts)
Development Opportunity
This role is designed to progress into a Contract Maintenance Account Manager position. As experience grows, responsibilities will include:
- Managing your own portfolio of customer contracts
- Leading client communication and review meetings
- Supporting pricing, negotiations, and renewals
- Identifying growth opportunities within existing accounts
- Taking ownership of customer satisfaction and retention
Skills & Experience
Essential
- Previous administrative or coordinator experience (5 Years Minimum)
- Strong organisational and multitasking skills
- Excellent communication and customer service abilities
- Good IT skills (Microsoft Office; CRM systems desirable)
- Ability to work in a fast-paced, reactive environment
Desirable
- Experience in drainage, plumbing, pumps, or construction/engineering sectors
- Experience scheduling engineers or coordinating field services
- Exposure to contracts, quotations, or service-based businesses
