Tasks and responsibilities:

Manage daily/weekly/monthly office administration

• Maintain physical and digital filing systems (internal documents, supplier invoices and general files)

• Support accounting processes such as invoice tracking and expense reports

• Prepare client invoices and file all client related documentation

• Coordinate office supplies and liase with external vendors

• Assist in various reception activities (welcome clients/externals, handle incoming calls/e-mail/correspondence etc.)

• Provide general support to management and team members as needed

• Ensure confidentiality of sensitive company information

We are looking for an Administrative Assistant – Document Processor with previous working experience in banks, financial audit at premier accounting firms, asset managers or family offices.

Qualifications and requirements:

• HEG or CFC / Federal Certificate of Proficiency in Commercial Business, Banking Sector or an equivalent qualification

• Minimum 8 to 10 years’ experience in a similar administrative role ideally within an SME, family office, financial, banking sector or fiduciary environment

• Strong experience in operational administration, with the ability to structure, coordinate, and optimize the company’s day-to-day administrative organization

• Good knowledge of general accounting, invoice tracking, expense management, and administrative coordination with suppliers

• Experience organizing and coordinating Board Meetings, preparing documents, and handling confidential administrative follow-up

• Good understanding of insurance matters, contracts, and general corporate administration

• Proven experience in Office Management: managing service providers, coordinating office operations, internal organization, and team support

• Excellent command of standard IT tools and MS Office, particularly Excel

• Knowledge of AI tools is considered an asset

• Excellent organizational skills, strong sense of priorities and great attention to detail

• Quick-thinking mindset, strong anticipation skills, and a proactive approach to managing tasks and priorities

• Excellent presentation, discreet, reliable, flexible, and service-oriented personality

• Ability to manage multiple tasks simultaneously in a demanding and dynamic environment

• Excellent command of French and English

• Knowledge of Portuguese is considered an asset

• Swiss work authorization or eligibility to work in Switzerland
