Responsibilities

Ops and Admin Support

Take a supporting role to provide operational and administrative support in collaboration with the programme leadership in the coordination, implementation and evaluation of various initiatives.

To be responsible for the operational aspects, ensuring that all processes are executed to meet the objectives and enhance overall performance.

Co support Programme, Project or Event Management colleague during her/his absence as required.

Logistics support include facilities and catering booking, programme supplies, and maintaining learning management system (onboarding/offboarding).

Work closely with the Operations Manager to ensure pristine and optimal operational readiness of facilities and equipment.

Propose continuous process and systems improvements.

Ensuring the tasks, quality and deadlines are met.

Perform any other ad-hoc tasks or projects as required by the Head of Operations, Admin.

Contribute to the general morale and professionalism of the SMU-ExD team.

Data Entry/Management

Overseeing database management processes, maintain and upkeep programmes and participants databases, etc across department and organization.

Advises the business on database administration related issues.

Reviews and maintains database related policies, guidelines, standards.

Coordinates the design, release and deployment of systems with cross-functional team dependencies and impacts to the infrastructure.

Participates in Enterprise Database System Planning (i.e. database infrastructure design, planning and implementation).

Other duties as assigned.

Qualifications

Degree in any discipline with at least a year of experience, or Business Diploma with 3-5 years of working experience in relevant, related field will also be considered.

Good communication (written and verbal), and interpersonal skills to engage with our internal and external stakeholders.

Accurately entering, organizing, and maintaining data in databases and spreadsheets, ensuring data integrity and providing essential support for business operations.

Resourceful and meticulous in handling multiple issues concurrently while managing tight deadlines effectively.

Demonstrate the ability to multi-task and work independently and in a team setting.

Excellent organizational skills, with a meticulous nature and a keen attention to detail; accuracy and thoroughness in all tasks.

Keen on process improvement and efficiency.

Proficient in MS Office applications (Word and Excel).

Ability to work on occasional weekends, weekdays’ evening and public holidays.

Can start work immediately.

Other Information

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
