We are looking for a professional who can provide reliable office support to ensure smooth daily business operations and foster an orderly, service‑oriented, and welcoming environment for employees, management, and visitors. In this role, you will also serve as the local HR and payroll coordination point for our Nürnberg site, ensuring the correct application of German labour law, statutory and contractual leave entitlements, and local public holiday schedules.
Your Responsibilities
- Operate the front desk by welcoming and registering visitors, preparing visitor badges, notifying hosts and providing basic hospitality (e.g. preparing meeting rooms)
- Handle and distribute incoming mail and parcels, and organise outgoing mail and courier shipments
- Manage the central phone line and generic email inboxes, forwarding enquiries to the relevant contacts and ensuring timely follow-up
- Coordinate office supplies, including ordering, stock control and communicating with vendors, as well as overseeing services such as cleaning, waste disposal and resolving minor facility issues in collaboration with the Site Manager
- Support the scheduling and organisation of internal meetings and events in Nuremberg, including room bookings, catering, technical equipment, guest lists and materials
- Act as an interface between the Nuremberg office, the Munich office and HQ HR regarding HR guidelines, reporting, audits and the implementation of group-wide HR processes and tools
- Ensure that local HR administration and office management processes comply with German labour, working time and holiday regulations, as communicated by HQ HR and Legal
- Coordinate administrative onboarding and offboarding activities, liaising closely with headquarters
- Track and record absences (vacation, public holidays, sick leave with/without a medical certificate, parental leave and unpaid leave) and ensure the correct coding is transferred to the payroll system
- Maintain and update employee master data, ensuring timely communication to payroll and headquarters
Your Qualifications & Skills
- Completed commercial training (e.g., Kaufmann/-frau für Büromanagement, Personaldienstleistungskaufmann/-frau) or a comparable qualification
- Several years of experience in HR or administrative roles, ideally within an international or multicultural environment
- Strong organisational, communication and time‑management skills
- Proficiency in MS Office applications
- High level of reliability and a structured, solution‑oriented approach to work
- Excellent command of both German and English; additional languages are an advantage
