Base pay range

$60,000.00/yr – $72,000.00/yr

JOB SUMMARY:

The Assistant Property Manager (APM) is responsible for assisting the Property Manager(s) in the day-to-day operations of assigned properties. This includes tenant relations, vendor coordination, minor accounting functions, and overseeing maintenance requests, repairs, and construction. The APM ensures compliance with lease agreements and company policies while delivering exceptional service.

Successful candidates will possess strong organizational skills, attention to detail, ability to multitask, and self-motivation to follow through on tasks efficiently. The APM reports to the assigned Property Manager(s).

ESSENTIAL DUTIES & RESPONSIBILITIES:

Tenant Relations & Lease Administration:

Serve as the primary point of contact for tenant requests, ensuring prompt resolution.

Draft and administer lease-related correspondence, including notices, defaults, COI requests, and commencement letters.

Maintain accurate lease files and property records.

Assist with tenant move-ins and move-outs, including coordination of logistics and documentation.

Conduct space inspections to ensure tenant compliance with lease requirements.

Organize and execute tenant events, holiday gifts, and building-wide communications.

Assign and track work orders to maintenance teams, ensuring timely completion.

Assist in obtaining bids and drafting service agreements for property services (janitorial, landscaping, security, fire systems, elevators, etc.).

Conduct routine property inspections and monitor vendor performance.

Coordinate acquisitions, dispositions, and capital repair projects as needed.

Code vendor invoices in Yardi Payscan by the budget for manager approval.

Assist with utility account setup and management.

Prepare and send monthly rent statements.

Assist with financial reporting, including budget preparation, expense estimates, and reconciliations.

Track and process tenant billbacks for utilities, parking, and other charges.

Operations & Compliance:

Ensure compliance with property policies, procedures, and lease agreements.

Monitor accounts receivable, collections, and write-offs in coordination with the Property Manager and accounting team.

Maintain tenant and vendor insurance certificates.

QUALIFICATIONS:

Experience: Minimum 3 years of commercial property management experience required.

Education: Bachelor’s degree preferred; professional certifications (RPA, CPM, CMCP, or CCIM) a plus.

Software: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and property management software (Yardi preferred).

Skills: Strong analytical, organizational, and multitasking abilities; excellent written and verbal communication.

Transportation: Valid driver’s license, reliable transportation, and auto insurance required.

Work Authorization: Must be authorized to work in the U.S.

Technology: Personal smartphone required (company reimbursement provided).

Background Check: Required prior to employment.
