As we continue to grow, we are seeking a highly organized, resourceful, and proactive Executive Assistant to support the CEO and leadership team.

This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, takes initiative, and is passionate about helping an organization operate efficiently.

About the Role

As Executive Assistant to the CEO, you will serve as a trusted partner responsible for helping manage priorities, coordinate logistics, and ensure day-to-day operations run smoothly.

No two days will be the same. One day you may be coordinating travel, planning an executive meeting, organizing a company event, or assisting with a special project. Another day you may be helping manage schedules, vendor relationships, office operations, or administrative initiatives.

The ideal candidate is highly organized, detail-oriented, dependable, and capable of handling confidential information with professionalism and discretion.

Responsibilities

  • Manage calendars, scheduling, and meeting coordination
  • Coordinate travel arrangements, including flights, hotels, transportation, and itineraries
  • Research and book restaurants, venues, and reservations
  • Assist with event planning, conferences, meetings, and company gatherings
  • Coordinate client gifts, appreciation initiatives, and special projects
  • Manage office inventory, supplies, and vendor relationships
  • Assist with office organization, décor, and workplace improvements
  • Coordinate team events, company celebrations, and employee engagement activities
  • Handle package management, shipping, receiving, and returns
  • Run occasional business-related errands and assist with local logistics
  • Track action items and help ensure follow-through on key initiatives
  • Assist with presentations, reports, and administrative projects
  • Support the CEO and leadership team with various operational and organizational needs
  • Take ownership of special projects and help solve problems proactively

Qualifications

  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to prioritize and manage multiple responsibilities simultaneously
  • High level of professionalism, discretion, and confidentiality
  • Strong problem-solving skills and resourcefulness
  • Positive attitude with a willingness to learn
  • Comfortable working in a fast-paced environment
  • Must be comfortable handling a wide variety of responsibilities and shifting priorities
  • Ability to anticipate needs, take initiative, and solve problems proactively
  • Proficiency with Microsoft Office, Google Workspace, and common business applications
  • Valid driver's license and reliable transportation preferred

Preferred Qualifications

  • Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, Project Coordinator, or similar role
  • Experience supporting executives or senior leadership
  • Event planning or project coordination experience
  • Experience working in a professional office environment
  • Familiarity with travel coordination and vendor management
