Position Description:
We are seeking a sharp, proactive, and highly accountable Assistant to support our CEO and Chief of Staff. This is a full-time role for someone who thrives in a dynamic environment, takes pride in delivering flawless execution, is exceptionally detail oriented, and understands the importance of discretion and reliability at the highest level. You’ll play a key role in helping our CEO and Chief of Staff stay focused, organized, and prepared across a range of business and personal priorities.
Responsibilities:
- Provide direct administrative and operational support to the CEO and Chief of Staff
- Work closely with the Chief of Staff to manage the CEO’s ever-changing schedule, priorities, and to-dos
- Serve as a liaison between the executive team and the broader staff, ensuring effective communication and follow-through
- Coordinate extensive domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
- Handle both business and personal errands for the CEO, including lunch orders, gift procurement, and special projects across multiple businesses and his estate.
- Assist in planning and executing internal events, such as holiday parties, team celebrations, and company-wide functions
- Maintain strict confidentiality and professionalism when handling highly sensitive information
- Track and manage action items, deadlines, and follow-ups with impeccable attention to detail
- Anticipate executive needs and proactively solve problems before they arise —anticipating conflicts, delays, or competing demands and offering timely solutions
- In collaboration with the Chief of Staff, prepare meeting agendas, briefing materials, and follow-up communications as needed
- Help streamline internal operations and collaborate with other Assistants and departments to ensure alignment
- Respond to questions or urgent needs after-hours or during weekends if needed. This typically isn’t time consuming but could be necessary for urgent requests or while the CEO is travelling.
- Assist the Chief of Staff with various administrative tasks as it relates to the CEO and/or operations of the company at large.
- Coordinate with receptionists and oversee office management, maintenance, and other vendors or contractors.
- Be an active contributor to a positive, fun, collaborative, and engaging office culture
- Other duties as assigned.
Qualifications:
- 1+ years of Assistant or similar support role, ideally supporting senior leadership
- 1+ years in the entertainment industry, with agency or live event production experience preferred
- Strong organizational and multitasking skills, with exceptional attention to detail and follow-through
- Highly accountable, dependable, and able to work independently while staying aligned with the team
- Excellent written and verbal communication skills
- Ability to maintain calm and professionalism in a fast-paced, high-stakes environment
- Discreet and trustworthy with confidential information
- Tech-savvy with proficiency in Microsoft Office, Google Workspace, Zoom, Slack, iCal, etc.
- Professional mannerism and composed nature
- Well-traveled is a preference but not required
