Summary

kidSTREAM, an emerging children’s museum, is looking for a dynamic HR Manager and Bookkeeper to help advance our mission of inspiring children’s growth by engaging families in meaningful, play-based learning. This position offers a unique opportunity to build and strengthen the operational foundation of a new, vibrant community museum.

In this role, the HR Manager and Bookkeeper will oversee the museum’s human resources activities and daily financial operations, ensuring that both people systems and financial processes contribute to a positive and efficient work environment. Working closely with the Director of Operations and leadership team, this position will help implement best practices in nonprofit management and workplace culture.

We are seeking a detail-oriented and proactive professional with proven experience in bookkeeping, HR compliance, employee support, and organizational operations. The ideal candidate will be collaborative, solutions-focused, and passionate about helping kidSTREAM create an environment where both staff and guests can thrive.

Responsibilities

Bookkeeping & Financial Management

Maintain and reconcile all accounting records using QuickBooks Online
Process accounts payable and receivable, ensuring accurate coding and timely payments
Reconcile monthly bank and credit card statements
Record revenue including grants, donations, earned income, and event proceeds
Work with the Director of Operations to create and monitor program and departmental budgets
Generate monthly financial statements, cash flow forecasts, and reports for leadership and the Board of Directors
Support annual audit preparation, work with external auditors, and assist in preparing IRS Form 990 and other required filings
Track and report on restricted funds and grant expenditures, ensuring proper documentation and compliance
Maintain internal controls and ensure compliance with nonprofit financial best practices

Human Resources Management

Develop and maintain personnel files, job descriptions, and HR records in compliance with federal, state, and local laws
Lead recruitment efforts: post job openings, screen candidates, schedule interviews, conduct reference checks, and assist with hiring
Facilitate comprehensive onboarding and orientation for new hires, interns, and volunteers
Manage biweekly payroll process and employee benefits administration (e.g., PTO, health plans, retirement options)
Collaborate with leadership to update and enforce HR policies, employee handbook, and standard operating procedures
Support the performance management process, including check-ins, evaluations, coaching, and professional development tracking
Provide HR support and guidance to staff, including resolving employee relations issues, maintaining confidentiality and professionalism
Ensure compliance with wage and hour laws, leave policies (FMLA, CFRA), and workplace safety regulations (OSHA)
Promote an inclusive, positive, and engaging organizational culture through team-building activities, DEI initiatives, and recognition programs
Additional duties as assigned.
Requirements:
Associate’s or Bachelor’s degree in Accounting, Business, Human Resources, or related field
Minimum 3–5 years of combined experience in bookkeeping/accounting and human resources administration
Advanced proficiency in QuickBooks Online, Excel, and cloud-based file systems (Google Drive, Dropbox)
Familiarity with HR/payroll systems (ADP, Paychex, Paylocity or similar)
Strong understanding of GAAP, nonprofit accounting practices, and HR compliance (especially California law)
Excellent organizational, analytical, and communication skills
High level of integrity, discretion, and emotional intelligence

Preferred Qualifications:

Experience working in a nonprofit, museum, or education-based organization
Working knowledge of federal and state HR compliance (EEO, ADA, ERISA, FLSA, etc.)
Prior involvement in startup or early-stage organizational operations
Familiarity with donor management systems or CRM platforms
