SUMMARY:
A Vacancy exists for Branch Administrator the Guarding Division based in Rustenburg
The suitable candidate’s main responsibilities and duties include, but are not limited to, the following:
POSITION INFO:
- Liaising with clients and their safety officers/SHE Reps
- Submit monthly reports, inspections, training statistics and registers to the Health and Safety department at Head Office
- Creating and maintaining branch and client health and safety files and records
- Assisting Branch/Area Managers with branch and site specific health and safety training requirements
- Assisting Branch/Area Managers with Risk Assessments annually and for new contracts
- Conduct Health and Safety branch self-audits – The audit is already created and will be given to you
- Ensuring new and current employees have done the company induction training and aware of the company’s SHE policies and procedures.
- Maintaining the branch notice board by updating necessary documents and ensuring symbolic safety signs around the branch are always clear and visible
- Ensuring that all new employees required to carry firearms have the correct documentation. There must be a proficiency certificate and a statement of results which must be verified on the PFTC home page. .
- Maintaining the DMS system by obtaining documents from officers carrying firearms and uploading the documents to the DMS system
- Pulling reports from DMS and submitting it to the NDFO and the firearms compliance administrators at Head Office
- Checking all firearm registers at branch and sites to ensure that procedures and processes are followed.
- Ensuring all firearm registers are correctly filled out and signed at the branch and at all sites where there is a requirement for firearms.
- Ensuring procedure is followed regarding safes and keys for the safe
- Ensuring officers carry permits while on duty
- Ensuring that the licenses are renewed by communicating with Head Office firearms administrators.
- Ensuring that each firearm at the site has its respective license on the file/on person
- Ensuring that documents for officers carrying firearms (PSIRA, Competency, ID, Reg 21 is on file at the respective site on the site file.
- Ensuring that the CIIV book is always filled when firearms are transported from one place to another with the correct licence and the documentation for the person transporting the firearms.
- Read and understand the Firearms Control Act
- Conduct Branch/Site Firearms Audit (from NDFO)
Preferred qualifications/attributes/skills:
- Grade 12(Matric)
- Relevant administrative qualification will be advantageous
- Previous administrative experience, preferably within the security industry
- Computer literate (MS Word, Excel, and Outlook)
- Strong computer and report writing skills
- Strong communication and interpersonal skills
- Ability to work under pressure and meet deadlines
- High level of confidentiality and professionalism
- Ability to multitask
- Clean criminal and credit record
- Driver’s license
