Minimum Salary: $36,612/Days: 226

Primary Purpose

Manage all budget dealings of the Athletic Office for the district as instructed by the Director of Athletics.

Qualifications

Education/Certification:

High School Diploma or GED equivalency

Notary Public

Special Knowledge/Skills:

Strong understanding of bookkeeping, financial operations and business principles

Proficiency in data entry (including 10-key), keyboarding and electronic file maintenance

Skilled in using spreadsheet and word processing software (Microsoft Excel and Word)

Accurate and detail-oriented with the ability to maintain auditable financial records

Solid mathematical skills and ability to work quickly and accurately with numerical data

Ability to meet tight deadlines and handle multiple priorities efficiently

Excellent organizational, communication, and interpersonal skills

Understanding of and commitment to customer care principles

Experience:

Minimum of three years relevant experience in secretarial, administrative, business office, or financial institution settings

Major Responsibilities and Duties

Budget and Financial Operations

1. Coordinate the preparation of budgets for all Prosper ISD Athletic Department staff.

2. Maintain comprehensive and organized budget records for the Athletic Department.

3. Manage the procurement and ordering of athletic FF&E (furniture, fixtures, and equipment) for new campuses.

4. Prepare purchase orders as approved by the Director of Athletics, covering Central Athletics, Middle Schools, and campuses under construction.

5. Collect and process extra-duty pay forms from athletic events and submit monthly reports to the Payroll Department.

6. Manage financial tasks, including entry fees, student meals, reimbursements, petty cash, credit card reconciliation, invoice payments, and staff/student travel expenses.

7. Process and reconcile all travel requisitions for athletic staff, ensuring accountability for unused funds.

8. Coordinate and manage team travel arrangements, including out-of-town travel, with proper reconciliation of expenses.

9. Collect revenue from vendors and advertisers.

10. Assist with marketing and advertising efforts for district stadium and athletics venues as applicable.

11. Reconcile tournament finances and invoice participating schools as necessary, including internal and external events.

12. Prepare income statements and financial summaries for all sports programs.

13. Monitor and manage professional development budgets and payments for athletic staff.

14. Audit and analyze payroll system accounts for accuracy.

15. Maintain activity accounts for all district campuses.

16. Compile and submit end-of-year financial reports, including playoff and entry fee analyses.

17. Track and verify receipt of all capital outlay items.

18. Initiate budget transfers as needed to support department operations.

Other

19. Perform additional tasks and responsibilities as assigned by the Director of Athletics.

20. Follow district safety protocols and emergency procedures.
