KMC Transport Planning is a fast growing and leading consultancy specialising in transport planning, infrastructure development, and sustainable mobility solutions. Based in Cambridge, we work with clients across the public and private sectors to deliver innovative and effective transport strategies. We are looking for a proactive and organised Business Administrator to join our team and support our day-to-day operations.

Job Purpose:

The Business Administrator will play a key role in ensuring the smooth running of our growing team, providing administrative support, and maintaining efficient systems. This role requires excellent organisational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Administrative Support: Provide administrative support to the team, including scheduling meetings, managing calendars, and preparing documents. Assist with travel arrangements, accommodation bookings, and expense reporting for staff. Maintain and update filing systems, both physical and digital, ensuring confidentiality and accuracy. Assist with the preparation of presentations, reports, and proposals as needed.

Financial Administration: Assist with basic bookkeeping tasks, such as processing invoices, tracking expenses, and reconciling accounts. Support the preparation of financial reports and budgets as required. Liaise with the finance team to ensure timely payments and accurate record-keeping.

Team Support: Organise team events, meetings, and training sessions, including preparing agendas and taking minutes. Support HR-related tasks, such as onboarding new employees and maintaining personnel records.

Other Duties: Undertake ad hoc projects and tasks as required to support the business. Stay up-to-date with company policies and procedures, ensuring compliance at all times.

Person Specification:

Essential Skills and Experience: Proven experience in an office administration or similar role.

Excellent organisational and time management skills, with the ability to prioritise tasks effectively. Strong communication skills, both written and verbal, with a professional and friendly demeanor.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.

Knowledge of basic bookkeeping and financial administration.

Attention to detail and a high level of accuracy in all tasks.

Ability to work independently and as part of a team in a fast-paced environment.

Desirable Skills and Experience: Experience in a similar role within the transport, engineering, or consultancy sector.

Familiarity with health and safety regulations and office compliance requirements.
