Executive Assistant / Operations Coordinator
Location: Riga | Full-time | Salary from €2,000 gross
We are looking for an Executive Assistant / Operations Coordinator to support the company’s day-to-day administrative, operational and organisational processes.
This role is suitable for a structured, proactive and reliable person who can keep tasks, documents and communication organised, work with employees and service providers, monitor deadlines and follow tasks through to completion.
Key responsibilities
- Operational and administrative support: supporting the manager and the team, coordinating daily tasks, monitoring deadlines and execution, handling local errands, preparing short reports and overseeing general administrative matters.
- Business and internal communication: communicating with employees, service providers, accounting, lawyers, banks, public authorities and landlords; ensuring timely information flow within the team.
- Financial-administrative support: maintaining a payment register for invoices, payments and due dates; managing document flow related to contracts, HR and accounting documents.
- HR and recruitment administration: work schedules, timesheets, employee statements, posting vacancies, managing applications, initial contact with candidates and organising interviews.
- Information search and structuring: searching, collecting and structuring information, service providers and contractors for the company’s operational needs.
- Preparation of working materials: assisting with spreadsheets, presentations, internal documents and other materials upon request.
Requirements
- Experience in an administrative, operational or assistant role.
- Fluent Russian, Latvian and English.
- Strong Excel / Google Sheets skills.
- Ability to work with documents, spreadsheets, tasks and deadlines.
- Strong written and verbal business communication.
- Practical experience with AI tools or willingness to actively use them in daily work.
- Interest in AI developments and readiness to apply AI tools to improve work efficiency.
- Attention to detail, structured thinking and reliability.
- Independence, responsibility and ability to follow tasks through to completion.
- Confidentiality when working with financial, legal, HR and corporate documents.
