The Business Office Associate – Staff Accountant/HR is a key member of the Business Office team, supporting both accounting and human resources functions. This role is responsible for managing accounts receivable, payroll preparation, financial reconciliations, and benefit administration. This role supports both accounting and human resources operations to ensure accuracy in financial processes, employee records, and school-wide payroll functions.

This position is ideal for a highly organized and detail-oriented professional with strong interpersonal skills and a service-oriented mindset. The successful candidate will be able to manage sensitive information responsibly, provide effective support to employees and families, and contribute to efficient, compliant financial operations.

Core Responsibilities

Accounts Receivable & Billing

Invoice and collect tuition and other school-related revenues (e.g., After School Program, Campus Store, Facility Rentals).

Maintain and update the tuition billing system to reflect accurate payment plans and schedules.

Monitor and follow up on delinquent accounts with professionalism and discretion.

Track and apply payroll withholdings for faculty tuition remission.

Payroll & Timesheet Processing

Prepare semi-monthly and bi-weekly payroll batches for review and approval by the CFO, ensuring accuracy in deductions, taxes, and benefits.

Review submitted timesheets to ensure proper managerial approval.

Reconcile payroll data to ensure consistency with employment agreements and benefits deductions.

Respond to employee payroll inquiries with clarity, professionalism, and discretion.

Run periodic audits of HRIS and payroll data to ensure consistency between systems and flag discrepancies for review.

General Ledger & Financial Reconciliation

Reconcile assigned balance sheet accounts on a monthly basis, ensuring accuracy and timely resolution of discrepancies.

Support the annual external audit process by preparing required schedules, documentation, and timely responses to auditor inquiries.

HR & Benefits Administration

Coordinate new hire onboarding paperwork, payroll setup, and benefits enrollment.

Support employee benefits processes, including enrollments, terminations, and status changes.

Audit and reconcile monthly insurance invoices to confirm alignment with payroll records.

Provide administrative support during open enrollment and compliance reporting periods.

Serve as the primary point of contact for system-related support in the school’s HRIS platform, assisting employees with timekeeping, time-off requests, and routine HR data updates.

Support compliance-related tracking and data maintenance, including licensure, background checks, and training completion records.

Customer Service & Cross-Functional Support

Provide courteous and efficient support to families, employees, and vendors in all interactions.

Assist with special projects and general office operations as assigned by the CFO and/or HR Manager.

Qualifications

Bachelor’s degree (minimum), preferably in Accounting, Finance, or Business Administration.

2+ years of Accounts Receivable, Payroll, and General Ledger experience.

Strong knowledge of payroll systems (CheckWriters or similar preferred).

Proficiency in Excel and QuickBooks, with an ability to learn new financial and HR software.

Familiarity with employee benefits administration and payroll tax regulations is a plus.

Demonstrated discretion and confidentiality in handling sensitive matters.

Excellent organizational, analytical, and problem-solving skills.

Detail-oriented team player with the ability to work independently.

Strong written and verbal communication skills

Approachable, patient, and professional demeanor when handling billing inquiries and HR-related questions.

Must pass a 10-question accounting skills quiz.
