The Office Coordinator plays a vital role in ensuring the smooth and efficient operation of the Caring in Place program at Kirby Pines. This position is responsible for coordinating administrative functions, managing long term care billing processes, and overseeing staff scheduling to support high-quality care for our residents.
Key Responsibilities:
· Healthcare Billing & Documentation
· Process and manage billing for long term care services, ensuring accuracy and compliance with insurance billing requirements.
· Maintain up-to-date records of patient services, billing codes, and reimbursement documentation.
· Collaborate with the finance department to resolve billing discrepancies.
· Staff Scheduling & Coordination
· Develop and maintain staff schedules to ensure adequate coverage for all shifts.
· Coordinate with nursing and caregiving teams to manage time-off requests, shift changes, and emergency coverage.
· Track and report staffing metrics and assist with onboarding new team members.
· Administrative Support
· Serve as the primary point of contact for internal and external communications related to Caring in Place.
· Maintain organized records, files, and reports related to resident care and staff operations.
· Support the Director with calendar management, meeting coordination, and special projects.
· Customer Service
· Provide compassionate and professional service to residents, families, and staff.
· Address inquiries and concerns promptly and effectively.
Qualifications:
· High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
· Minimum 2 years of experience in healthcare billing (Medicare/Medicaid knowledge preferred).
· Proven experience with staff scheduling in a healthcare or senior living environment.
· Proficiency in data entry and scheduling software (e.g., MatrixCare, or similar).
· Strong organizational, communication, and problem-solving skills.
· Ability to work independently and as part of a collaborative team.
Work Environment:
· Full-time, on-site position.
· Monday–Friday, with occasional weekend or holiday support as needed.
· Fast-paced, resident-centered environment.
